UK FOSSILS · YOUR PRIVACY
Privacy statement
Last reviewed: 27 October 2026
This notice covers ukfossils.co.uk and the UK Fossils Guides and Shop app operated by UKGE LTD. It explains the information used by the guide website and app, and what happens when you choose online maps, media, shopping or community features. The separate shop and forum also provide privacy information for their own services.
Who we are
UKGE LTD operates UK Fossils. Contact us about privacy or your information at sales@ukge.com, or write to UKGE LTD, Units 10–12, Fountain Way, Reydon Business Park, Southwold, Suffolk, IP18 6SZ, United Kingdom.
Website visits and enquiries
When you browse ukfossils.co.uk, our WordPress.com/Automattic hosting, content delivery, statistics and security services process connection and usage information such as IP address, device/browser information, pages requested, time and referring page. Spam-protection services such as Akismet help protect forms and comments.
When you contact us, we receive the details you enter, including your name, email address, message and any contact information you choose to provide. We use them to answer your enquiry and keep relevant follow-up or business records. Providing an email address through the contact form does not subscribe you to a marketing list without your consent.
Favourites, downloads and searches
The guide app stores your favourites, downloaded guides and photographs, and the latest guide snapshot on your device. These are not uploaded to a UK Fossils user account. Guide searches and region filters are processed on your device.
Remove saved guides in Favourites. Local app data remains until you remove it or delete the app, subject to operating-system backups. Website cookies and browser sessions have separate device and service controls.
Your location
Near me asks for your device’s location permission so it can sort guide locations by approximate distance. The guide app does not save your position, track you in the background, or send your position to UK Fossils. You can deny or revoke location permission in your device settings and still use the guides.
Online content and technical information
Guide-update checks and image requests contact UK Fossils hosting and image providers, including WordPress.com/Automattic. Maps request tiles from OpenStreetMap. Video thumbnails and the video player contact YouTube/Google. These services receive normal connection information such as your IP address, request time, device or browser information, and the content requested. Map requests also identify the map tiles being viewed.
The guide app contains no advertising or analytics SDK. Embedded websites and YouTube may use their own cookies, analytics, advertising and security tools. Their data practices are described in their privacy notices. YouTube’s embedded player also receives the app identifier; Android may provide app/device integrity information.
Shop, checkout and community
Shop and Community display the live ukfossils.com shop and Discuss Fossils forum. Signing in, ordering, paying, replying or uploading a photograph sends the information you enter or select to those services. They may store cookies and session information in the app’s web view or your browser. Forum hosting is provided by Website Toolbox.
Checkout uses the existing shop and its payment services. The guide app does not store payment-card details. To carry a basket to checkout, the shop temporarily stores product quantities, coupons and a session reference behind a random link token for up to two hours; an order reference may be added to keep the basket in sync.
Forum posts, uploaded photographs and details you choose to publish may be visible to other people and search engines. Use the shop/forum account controls or contact UKGE LTD for account or order privacy requests. The online service’s own privacy and retention information also applies.
Why we use information
For information UKGE LTD controls, we rely on legitimate interests in responding to enquiries and operating and securing our services; on a contract or requested steps before a contract when handling purchases; on legal obligations where records must be kept; and on consent where required. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.
Who receives information
Our hosting, content delivery, email, form/spam-protection, security, map, video, forum and payment providers process information needed to deliver their services. These include WordPress.com/Automattic and Akismet, OpenStreetMap, YouTube/Google and Website Toolbox where those features are used. Some act for UKGE LTD; others process information under their own privacy notices. We may also disclose information where legally required.
The shop and forum have their own accounts, purchase or posting features and related privacy information. External sites reached from our links apply their own privacy practices. Some providers process information outside the UK. Their privacy notices explain their international processing and safeguards; contact UKGE LTD for details of safeguards for information processed on our behalf.
Cookies and embedded content
The website and embedded services can use cookies or similar storage for features such as security, preferences, sign-in, statistics, shopping baskets and video playback. Services loaded inside the app’s browser views can also retain cookies and sessions. The guide app itself does not include an advertising or analytics SDK.
You can manage or delete cookies through your browser or device settings and use any choices offered by the service concerned. Blocking cookies or embedded services can prevent features such as sign-in, checkout or video playback from working. The linked provider notices explain their technologies and available controls.
How long information is kept
If you contact us, we use your name, contact details and message to respond and keep relevant follow-up or business records. We retain enquiries only as long as needed for the enquiry, follow-up, and applicable legal or record-keeping requirements, then delete them when no longer needed.
Favourites and downloaded guides remain on your device until you remove them or delete the app, subject to operating-system backups. Online cookies and sessions have separate controls. Hosting, security, shop, forum and other service records follow the relevant service’s retention arrangements. We keep personal information only for as long as needed for its purpose, relevant follow-up, and applicable legal or record-keeping requirements, then delete it when no longer required.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of personal information that UKGE LTD controls. Contact sales@ukge.com. We may need to verify your identity before responding.
You have the right to object to processing based on legitimate interests, and to direct marketing. The guide app does not use your favourites or device location for marketing. Contact us to exercise these rights.
You can also complain to the Information Commissioner’s Office at ico.org.uk, or the relevant data-protection authority where applicable.
Changes to this notice
We review this notice when our services or data practices change. This web page provides the current website notice; the app includes a dated copy of its app privacy information that can also be read offline.
